Account & messagesSign in and find your way aroundYour first visit to the HCFD Portal.
  1. Sign in with your department email and password. If prompted, set your own password.
  2. Use the sidebar to open a tool. On a phone, open the menu first.
  3. Use the dashboard search to find a tool by name. Select My Account to manage your account.

A visible link does not guarantee permission to use every feature. Ask your supervisor if your access needs to change.

Open portal
Your dashboardChoose your four quick actionsPut your most-used tools on the dashboard.
  1. On the dashboard, select the edit control beside Quick Actions or open Customize.
  2. Choose a different action for each of the four slots.
  3. Select Save quick actions and wait for the saved message. If saving fails, retry before leaving.

These choices belong to your account. Changing a shortcut does not change your permissions.

Open portal
Your dashboardUnderstand dashboard statusDue work, unavailable counts and hydrant drilldowns.
  1. Check the scope shown on each card, such as station or shift.
  2. Select a hydrant progress row to see the referenced outstanding hydrants. An overdue summary opens overdue work.
  3. If a card says unavailable, use its Retry button.

A dash or unavailable message means the source could not be confirmed. It does not mean zero outstanding items.

Open portal
Your dashboardAnnouncementsTimed banners at the top of the portal, and how to post one.

Announcements show as a colored banner under the top bar on portal pages. Urgent is red, Notice is gold and Info is blue. Each one shows when it ends, and it comes down on its own at that time.

  1. Tap a button on the banner to go straight to that part of the portal, such as a repair request or the training calendar.
  2. Tap × to hide an announcement you have read. It stays hidden on all your devices. Pinned announcements can’t be hidden; they stay up until they end.
  3. On a phone, banners show one at a time. Use the arrows to see the next one.

Posting (Lieutenant and up): open Announcements in the sidebar under Reports & Admin and choose New. Write a headline, add up to two buttons, then choose how long it runs, who sees it (everyone, certain stations or shifts, or officers) and whether it can be dismissed. Turn on the push option to notify phones as well. You can schedule a start, save a draft, extend one by an hour or a day, end it early, see who hasn’t seen it, and reuse an old one.

Push notifications use the “Other portal alerts” setting, so members who turned that off still see the banner but don’t get a push.

Open announcements
Field operationsUse the county mapLayers, Follow GPS and automatic updates.
  1. Open County Map and allow location access.
  2. Turn on the layers you need: Hydrants, Businesses, Pipelines or Satellite.
  3. Zoom in with Businesses on to see saved building outlines. Businesses without an outline stay marked by a dot.
  4. Use North up / Heading up to change orientation. Drag the map to look around; tap Follow GPS to resume following.
  5. Zoom in to separate grouped markers. Tap a marker to see its details.
  6. Check the update time and GPS accuracy above the map.

Records refresh every 30 seconds while the map is visible and online, and when reconnecting or returning to the page. This is periodic refresh, not instant synchronization. Satellite imagery is not a live camera.

Pipelines

Pipelines shows gas (yellow) and fuel (orange, dashed) lines that volunteers have mapped in OpenStreetMap, in the county and about 4 miles around it. Tap a line for its operator and emergency number. It is approximate and many lines are missing, including most local gas mains, so never use it to locate a line: call 811 and the operator.

Nearby records

Last Hydrant Service shows nearby hydrant service information. Last Inspection looks up the nearby business parcel. These controls depend on your access.

Open county map
Field operationsCapture a better hydrant locationCollect, review, then apply a fresh GPS reading.
  1. Stand beside the hydrant with a clear view of the sky. Open its record and choose Edit.
  2. Select Capture hydrant location. Stay still during the 20-second collection.
  3. Review the best reported accuracy. If the reading is poor, move into the open and capture again.
  4. Select Use this reading to fill the coordinates.
  5. Save the hydrant record to keep the change.

Readings worse than 25 meters (about 82 feet) are rejected. Readings worse than 10 meters (about 33 feet) are marked limited accuracy. An unused reading expires after one minute. Canceling leaves the existing coordinates unchanged.

What accuracy means

The ± value is the phone’s estimated uncertainty, not a guarantee. The app selects the best reported fix; it cannot turn a phone into survey equipment. Enable precise location access where your device offers it.

Account & messagesSet notification preferencesChoose the portal notices you want to receive.
  1. Open notification settings from the portal header.
  2. Wait for preferences to load, then turn categories on or off.
  3. Wait for Saved after each change. If you see a save error, retry.
  4. Use the push notification control if you also want supported device notifications.

Categories include repairs, timesheets, apparatus checks, training, career, hydrants, equipment, supply, prevention, OPS and account notices. Roster and dispatch categories are removed.

Category settings filter supported notices; they do not create new notifications for every action. Device notification permission is separate.

Open portal
Account & messagesSign out or change your passwordWhere to find the account controls.
  1. Open the portal sidebar. On a phone, tap the menu first.
  2. Select Sign out below My Account.
  3. The page reloads after successful sign-out. If you see an error, retry.
  4. To change your password instead, open My Account and use its password form.

People & trainingCheck the chain of commandFind reporting relationships and assignment issues.
  1. Open Chain of Command from the portal.
  2. Use the search and filters to find a member, station or shift.
  3. Set the Effective date to check temporary assignments for that day.
  4. Expand a person to view direct reports; select a member to inspect their reporting chain.
  5. Switch to Assignment Review to investigate links that need attention.

Authorized editors can change permanent assignments or enter a temporary supervisor with start and end dates. After saving, refresh the chart and verify the effective date.

Field operationsDaily CheckRun and record apparatus checks
  1. Open Daily Check and choose the apparatus you're checking.
  2. Work down the checklist, marking each item and noting anything that isn't right.
  3. Tap Save Draft to finish later, or Submit Check when you're done.
  4. Anything you flag as a problem can be turned into a repair request for follow-up.
Captains and above see a department-wide Station Status view instead of the truck-check picker.
Open Daily Check
Field operationsInventoryYour gear, apparatus, stations

The tabs you see depend on your rank. Everyone gets: My Gear Inventory Apparatus Stations. Lieutenant and above also get: Personnel Expiring.

  1. My Gear — the screen you land on. Shows exactly what's issued to you, plus the apparatus at your own station.
  2. Inventory — the full searchable list of everything, across every category and station.
  3. Apparatus — every truck, browsable on its own (no longer mixed in with station storage).
  4. Stations — storage locations (Station 1–8, HQ, EMA warehouse) browsable on their own, separate from Apparatus.
  5. Personnel (officers) — gear assigned to each person, searchable by name or shift.
  6. Expiring (officers) — items with upcoming expiration or inspection dates so nothing lapses.
Adding or editing equipment needs the equipment-edit permission. Some members only see gear assigned to them; others see everything, depending on what's been set for your account.

Field operationsPreventionBusinesses, inspections, preplans, hazmat

Available prevention actions depend on your account permissions.

Businesses & locations

  1. Search the county business list, or add a new one with an address and occupancy type(s) — a business can have more than one occupancy type if it's mixed-use.
  2. When several businesses share one building or strip mall, they all share the same location — the building's own construction type, square footage, sprinklers, Knox box, and other physical facts live on the location, not repeated on every individual business.

Inspections

  1. Open a business and start an inspection — routine, follow-up, new occupancy, or a plan review.
  2. Record findings and violations as you go, then complete and sign it.
  3. The Inspections tab lists every inspection. Narrow it by type, result, inspector or date, and sort by date, business, inspector, type or result. Your filter choices are remembered on this device; Clear filters resets them.
  4. On Compliance, tap a tile (Overdue, Due Soon, Never Inspected, Open Violations, Certs Expiring or Preplans Overdue) to show only that list; tap it again or Show all to go back. Print list prints that list with each business's address and the best contact on file (primary contact record first, then the business contact and phone).
  5. County inspection records that couldn't be matched to a business are on the Unassigned tab (the number shows how many are left). Pick the business or whole location for a group and tap Assign all, or open it to place visits one at a time. They don't count anywhere until they're placed.

Preplans

  1. From a business, open its Preplan to add building details, photos, and a HazMat section — actual chemical name, UN number, and NFPA hazard ratings, not just a note. If there's nothing hazardous on site, check the No hazardous materials box instead of leaving it blank.
  2. Fire Flow calculates automatically once construction type and square footage are on file, using the nearest hydrants.
  3. Print a Tactical Sheet for a printed pre-incident plan.

People & trainingTraining request approvalsFollow the assigned Lieutenant, Captain and Training Chief.

Firefighter requests go to their assigned Lieutenant, then Captain, then the designated Training Chief. Lieutenant requests start with Captain; Captain and command requests go to Training Chief.

The request form previews names from the supervisor list and current acting assignments. Correct missing or inactive assignments in User Management before submitting. Exactly one active person must be marked Training Chief. Each reviewer must complete their step before the next reviewer can act.

Days with no class: for a class that runs over several days, the request form has No class on weekends and + Add break. A break is a Break start and Break end date inside the class when there’s no class — a pause between weeks or a holiday. A break can’t include the first or last day, and breaks can’t overlap. The form shows how many class days are left. Weekends (when checked) and break days don’t count as training days: they don’t raise schedule conflicts, the calendar doesn’t show you away, and team drills can invite you. Training Hours is still entered by hand.

After approval — enrollment: the Training Chief records how enrollment went from Requests › Enrollment (or the request itself): Enrolled, Waitlisted, Move to a later class or Couldn’t place. The member gets an inbox message for each.

Moved to a later class: when a class is full but a later one has room, the Training Chief enters the new dates (and time, hours, location, Course ID, weekends and breaks if they changed) with a reason. The request stays approved — nobody re-approves it — and the calendar moves with it. The member, every supervisor who approved it and the member’s current Lieutenant / Captain get an inbox message and push. Each can tap OK or Problem with this date (the member sees Can’t make this date) with a short note, which goes straight to the Training Chief. The new dates go through the same schedule-conflict check; a Captain or above must override a conflict. Every change is kept on the request with who answered what.

Seeing your people’s requests: Requests has tabs. My requests is your own requests and anything waiting on you. Lieutenants and Captains assigned to Shift 1, 2 or 3 also get My shift: every submitted request from members on that shift, all stations. Deputy Chiefs, the Assistant Chief, the Chief and the Training Chief get All requests, with a shift filter. Tap a tile (In review, Upcoming, Waiting on you, Completed) to filter, search by member, course or Course ID, and filter by status, station and sort order; tap a request to open it. Drafts stay private until submitted. An officer with no shift set in User Management doesn’t get the tab until one is set. The Training Chief’s Enrollment tab is the enrollment board.

Couldn’t place closes the request and releases the dates; the member can tap Resubmit for another date to start a new request with the same details.

People & trainingTimekeepingTimesheet, overtime

Approval chain: Firefighter → assigned Lieutenant → assigned Captain → Admin → Chief. Your own sheet starts above your rank. The org chart and effective acting assignments select reviewers; the current route appears on the timesheet. Submitted hours are locked until the assigned reviewer returns them with a comment.

Payroll hours summary (Office Manager, Admin and up): on My Timesheets tap Payroll hours summary, pick the pay period, and choose who to show (all personnel, turned in, or final approved only), employment and order (last name, employee ID or shift). Each row has Regular (straight-time worked), Overtime, Sick, Annual, Comp used, Comp earned, Holiday and Total paid, with the timesheet’s approval status; members who have formally reported no hours appear with 0.00 in each hours column and no daily detail; missing or unsubmitted timesheets appear with blank hours. Print / Save PDF prints a landscape sheet with an “Entered” check box per row and sign-off lines; Download CSV gives the same columns for importing. Add each member’s ID # in User Management so it prints on the sheet.

Part-time members with no hours: tap No hours this period on My Timesheets instead of submitting a blank timesheet. Nothing goes through approvals, and your supervisor’s roster shows you under “No hours this period” instead of Missing. Tap Undo, or open the period and enter hours, if you pick up a shift. A timesheet with no hours at all can’t be submitted. The supervisor roster follows the pay period selected with Prev / Next and leaves out volunteers.

Former members: In User Management, set Department status to No longer with department. Use the member filter to find former profiles; their historical records remain available. Reassign any active direct reports.

Two areas: Timesheet OT.

Timesheet

  1. Review your hours for the pay period.
  2. Save Draft as you go, then Submit for Approval once the period is complete.

Overtime

View the OT schedule and sign up where it's offered.

Supervisors: submitted timesheets show up in your queue with an Approve action.

People & trainingTrainingSheets, hours, ISO tracking, First Due

Logging a training session starts with picking its Sheet Type, which changes what the rest of the form asks for:

  • Standard — the general-purpose sheet: an NFPA standard, its objectives, attendance and signatures.
  • Drivers Training — apparatus, mileage, hours-meter readings, and the actual NFPA 1010 roadway-maneuvers and driving-skills checklists. Driver and instructor each sign separately.
  • Facility Training — for training-facility sessions; requires a topics-covered summary and how it was taught, and must be logged at 3 hours or more.

More than one instructor: pick the main instructor, then tap + Add instructor for each co-instructor (up to 6). Save the sheet, then each instructor signs on their own line. The sheet locks automatically once every attendee and every instructor has signed. Printed sheets list all instructors with a signature box for each.

Training requests

Use Requests to submit a training request or review one assigned to you. Requests follow your assigned Lieutenant, Captain and Training Chief, starting at the appropriate level for your rank. Add the provider’s Course ID when there is one so reviewers can find the class. For a class over several days, mark weekends and any breaks with no class. If your approved class is full, the Training Chief can move your request to a later class — you’ll get a message to confirm the new date or say you can’t make it. Course and class scheduling is handled in Vector Solutions.

First Due

A practice game under Training — pick your station(s) and a difficulty, then match real addresses to their location on the map. Good for learning your first-due area.

Review the session category and recorded hours before using training totals for ISO preparation. Portal totals are not an official ISO score.

People & trainingMy CareerCertifications & career progress

Sections: Certifications My Firefighters.

  1. Certifications — track your certs and their individual components to see what's complete and what's outstanding.
  2. My Firefighters — your direct reports, for supervisors.

Certificate files: open a certification and use Certificate file to attach a PDF or a photo (JPEG, PNG) of the certificate, up to 10 MB — on a phone you can take the picture right there. Tap View certificate on the card to open it. Only you and User Managers can see the file; User Managers can also add certifications and attach files for any member from User Management › Certifications.

Retiring an entry from the certification list needs the Training Chief. Lieutenant and up choose the entry in Manage certification list, add a reason and tap Request retirement; the Training Chief gets an inbox message and approves or keeps it from the same screen. The Training Chief’s own retirements take effect at once. Adding, renaming and restoring entries work as before.

Reports & referenceReportsBuild your own report from hydrants, inventory (equipment or missing items), training, inspections or users

A custom report builder covering Hydrants, Inventory (equipment and missing items), Training, Inspections and, for Lieutenant and up, Users.

  1. Pick a data source at the top.
  2. Check off the columns you want to see.
  3. Add filters — station, date range, category, status, whatever applies to that source.
  4. Optionally set a Group By and Sort, then tap Run Report.
  5. Export the result as a CSV or Print / PDF, or tap Save Report… to keep the exact same setup for next time — privately or shared with the whole department.

Users finds members by certification (has all, any or none of the ones you pick; a higher level counts, so Fire Officer II matches Fire Officer I; expired certs don’t count), years of service, years in rank, rank, station, shift, team, qualifications / tags (has any, all or none of the ones you pick — the same tags as User Management), employment type and instructor status. Missing Info finds members with no hire date, ID number, phone, station or shift, or no certifications on file. Years of service comes from the hire date in User Management.

Inventory › Missing items (pick Inventory, then Missing items) reports on items marked missing on truck checks: open or resolved, the outcome (found / returned, replacement received or written off), apparatus, station, category, how many shifts confirmed it and how many days it has been open. It shows open items by default and is available to members with inventory or truck-check access.

Report availability depends on your account access. If a source fails to load, contact your supervisor or portal administrator.
